ESSENTIAL DUTIES
Chamber Music Northwest seeks a mature, detail-oriented, and well-organized Artistic Operations Intern to join the operations staff in executing numerous festival activities and events. The Artistic Operations Intern works under the supervision of the Operations & Community Programs Director and the Artistic & Community Programs Coordinator. The successful intern will not only learn what goes on behind the scenes at a major music festival, but will provide support and gain practical skills in the areas of concert and event planning, artist and patron services, music library management, and festival scheduling.
Essential duties include:
- Serve as primary assistant to Operations staff in all logistical matters
- Serve as primary assistant for Education and Community Events (masterclasses, concerts, etc.)
- Assist with Artist hospitality when needed
- Artist and Music entry into the database
- Prepare contact lists including staff lists and emergency contact sheets
- Procure and document artists’ recording approvals
- Assist with the creation, and/or maintenance of festival information for all artists including arrival and departure procedures, contact lists, directions, rehearsal schedules, etc.
- Maintain documents in artists’ google drive
- Coordinate artist and seasonal staff complimentary ticket requests with box office.
- Drive the patron shuttles at all Kaul Auditorium concerts when driver staffing is low (Driving record is required)
- Assist other departments as needed, including education and community events, marketing, development, production, house management and the Young Artist Institute.
- Other duties as assigned
TRAITS AND CHARACTERISTICS
The Artistic Operations Intern must be meticulously organized, poised, and professional. The position requires flexibility, reliability, limitless energy, and attention to detail. The successful candidate must be a self-starter, comfortable working both independently and collaboratively in close proximity to different personalities, and they must demonstrate a willingness to assist in any and all capacities. Preference will be given to those candidates with a strong background or interest in the arts or classical music, knowledge of Portland Oregon, and/or interest in arts administration, event planning, or non-profit management.
EXPERIENCE AND REQUIREMENTS
At least two years in a baccalaureate degree program in a related field are required. The successful candidate will have superb organizational, interpersonal, and communication skills. They will have demonstrated success in functioning effectively in a fast-paced environment with rapidly shifting priorities and working with a wide variety of people. They will have the energy, flexibility, and stamina required to assure that no details are overlooked. They must have a reliable vehicle, a clean driving record, and a valid driver’s license and be readily accessible by mobile phone and email. It is essential that the Artistic Operations Intern be a proficient user of Microsoft Word and Excel, and experience using Google Drive is desirable. Slack is used throughout the festival to communicate between departments and is required for this position. Additionally, the ability to read music and prior experience at an arts festival or major event are preferred.
First Aid/CPR training is required (certification preferred), if candidate has not yet gone through the online course this will need to be completed prior to the Summer Festival. CMNW will reimburse them for this cost. A background check will be required for this position.
JOB CONDITIONS AND COMPENSATION
General:
The Artistic Operations Internship is a full-time, seasonal position. The full term of the position is June 2–July 28, 2025 and the Summer Festival dates are June 28–July 27, 2025. Hours prior to June 28 will be daytime office hours, Monday-Friday, at about 10-20 hours per week for the first two weeks. Once the Festival begins, hours will include working nights and weekends, and could be quite long on particular days, though they will be kept to 40 hours per week. Interns must be available as many as six days a week from June 23–July 28, including occasional late night and early morning hours. Please note: there will be a semi-dark period from July 1 – 8 where hours will be much less than the rest of the festival. The Artistic Operations Intern will be paid $16.00 per hour. College credit may be arranged with the individual’s institution.
The Artist Operations Intern spends the majority of their time in an office setting and at CMNW’s two college-based performance sites, though offsite travel may be required. Operationally, this position requires physical stamina, the ability to move quickly and carefully in close quarters around valuable instruments and stage equipment, including use of stairs and ladders. Occasional lifting tasks are required and are limited to 40 pounds or less without assistance.
