Design Assistant

Job Title: Design Assistant

 

Job Overview

Faith Design Studio is seeking a Design Assistant to join our dynamic team. As a Design

Assistant, you will be crucial in supporting our interior design projects by efficiently

managing the purchasing process & other admin-related to-dos. This position is ideally

suited for individuals with strong administrative and communication skills, excellent

organizational abilities, a keen attention to detail, and a proven ability to thrive in a

dynamic, collaborative environment.

 

Key Responsibilities

1. Purchasing

• Data entry and updates to product/item-based software system, Studio

Designer.

• Source, quote, and purchase items meeting specific design project requirements.

• Order samples for client review and project assessment.

• Accurately add purchased items to invoices.

• Handle returns and exchanges efficiently.

• Review invoices for accuracy and adherence to budget constraints.

• Provide weekly updates to clients during the purchasing phase, ensuring

transparency and satisfaction by uploading relevant documentation and status

updates through file-sharing systems.

• Apply to new vendor/trade programs.

• Add new vendors and clients to Studio Designer; manage trade account records.

• Enter incoming payments and outgoing expenses in Studio Designer

• Support day-to-day operations by conducting general research and product

research.

 

2. Coordination

• Communicate effectively with vendors for quote requests, timely deliveries, and

issue resolution.

• Coordinate with clients, as well as shipping and receiving, to manage product

deliveries.

 

3. Organization and Documentation

• Maintain detailed records of purchases, including receipts and invoices.

• Maintain a system for tracking product information and project details.• Assist in creating and updating project documentation as needed.

• Document tasks and provide status updates to the design team through Clickup,

our internal task management system.

 

4. Communication

• Act as a point of contact between the design team, clients, and vendors.

• Effectively communicate with clients about the status of their purchases and

updates.

• Promptly and professionally address client inquiries and concerns.

 

5. Administrative Tasks

• Process various State of California filing requirements for compliance

• Handle various personal tasks, including but not limited to travel arrangements,

calendar planning, appointment setting, and email management.

 

Qualifications

• Proven experience as an assistant or in a similar administrative role.

• Strong organizational skills with exceptional attention to detail.

• Excellent written and verbal communication skills.

• Ability to multitask and prioritize in a fast-paced environment.

• Familiarity with interior design concepts and terminology is a plus.

• Experience with team systems such as Google Drive, Clickup, Slack and iCloud is

a plus.

• Experience with Microsoft Excel and Google Sheets.

• Proficient in using virtual communication tools and platforms.

• Self-motivated and capable of working independently.
