Job Description

Reports to: Education, Community Engagement & Inclusion (EdCEI) Director, responsive to the Chief Operating Officer, Reno Phil Board of Directors. Works closely with the Reno Phil Youth Orchestra Conductors.

Position Overview:
The Youth Ensembles Manager is an ideal position for anyone interested in beginning a career in arts administration. This role supports the Reno Philharmonic Youth Orchestras (RPYO) by coordinating rehearsals, events, communication, and logistics, offering hands-on experience in a dynamic nonprofit environment.

Youth Orchestra Administration

  • Coordinate rehearsals, concerts, retreats, and events in collaboration with the EdCEI Director and other staff.
  • Attend RPYO rehearsals and events to provide on-site support.
  • Manage space, equipment, and volunteer coordination for youth orchestra events.
  • Maintain youth orchestra rosters, attendance records, and emergency contact information.
  • Assist with tuition billing, fee collection, and coordination of auditions and competitions.
  • Operate annual auditions, Concerto Competition, and music distribution.
  • Coordinate professional coaches and judges throughout the year and submit corresponding payroll materials. 

Youth Orchestra Communication

  • Serve as the primary point of contact for Youth Orchestra families, managing communication related to schedules, updates, and program policies.
  • Work closely with the Youth Orchestra parents and RPA Volunteer Coordinator to synchronize efforts and solicit volunteers when needed
  • Utilize RegPack, PatronManager, and other tools to maintain relationships with current RPYO members and alumni.
  • Track attendance and communicate with families regarding excused and unexcused absences.

Planning and Evaluation

  • Participate in planning and evaluation processes for the Youth Orchestras including gathering feedback through surveys and other metrics.
  • Schedule and support annual evaluations of Youth Orchestra conductors.

Youth Orchestra Tours and Run Out Concerts (when applicable)

  • Assist with logistics for Youth Orchestra tours, including communication with travel companies and managing travel budgets.
  • Coordinate run-out concerts and community performances.

General Duties 

  • Provide box office support by assisting in phone coverage and patron support in RPA office.
  • Provide occasional support for other Reno Phil programs, including Reno Phil Association Kids (RPAK) and administrative tasks.
  • Attend weekly Reno Phil staff meetings and EdCE Committee meetings.
  • Assist with grant preparation and reporting as needed.
  • Perform other duties as assigned to support the success of the Youth Orchestras and the Reno Phil.

Hours: Full Time, ExemptSome weekends and evenings as required

Preferred Qualifications:

  • Bachelor’s degree in communications, business, arts administration, music, or a related field (or equivalent experience).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and ability to learn new software quickly.
  • Enthusiasm for working with young musicians and fostering a positive learning environment.
  • Flexibility to work evenings and weekends as required for rehearsals, concerts, and events.

Compensation:

  • Starting salary: $40,000 - $45,000 per year, commensurate with experience.
